Privacy Notice

This notice explains how Documentary System Science Platform collects and uses personal data on the Documentary System Science Platform.

1. Who is responsible

Documentary System Science Platform is the data controller for the personal data described here. You can contact us at legal@dss-platform.com.

2. Data we collect and why

Account data (name, email address, credentials, language preference): to create and secure your account and to provide access to the works. Legal basis: performance of the contract.

Reading data (works opened, chapter progress): to resume your reading and to improve the corpus. Legal basis: performance of the contract and our legitimate interest in improving the service.

Support and briefing requests (name, email, organisation, message): to answer you. Legal basis: performance of the contract or our legitimate interest in responding to enquiries.

Assistant conversations (your questions and the answers returned): to provide the assistant and to monitor quality and abuse. Legal basis: performance of the contract and legitimate interest.

Technical data (IP address, device and browser information, security logs): to keep the service secure and to prevent fraud. Legal basis: legitimate interest and legal obligation.

3. Who we share data with

Service providers acting on our behalf: hosting and database infrastructure, email delivery, and the AI provider that powers the assistant.

Paddle, our Merchant of Record, for the sale of the product, subscription management, payments, invoicing and tax compliance. Paddle collects and processes payment data under its own privacy notice.

Professional advisers (legal, accounting), and public authorities where the law requires it.

4. International transfers

Some providers process data outside the UK and the EEA. Where that happens, transfers are covered by an adequacy decision or by standard contractual clauses together with appropriate additional safeguards.

5. Retention

Account and reading data are kept for as long as your account is active, and for up to 12 months after closure. Support messages are kept for up to 24 months. Records required for tax or accounting are kept for the legally required period. After those periods data is deleted or anonymised.

6. Your rights

Subject to the law that applies to you, you may request access, rectification, erasure, restriction, portability, object to processing based on legitimate interests, and withdraw consent where processing relies on it.

Write to legal@dss-platform.com and we will respond within one month. If you are in the UK or the EEA, you may also lodge a complaint with your supervisory authority.

7. Security

We apply appropriate technical and organisational measures: encryption in transit, row-level access rules on every table, least-privilege access for staff, and automated weekly security scanning of the platform.

8. Cookies and local storage

We use strictly necessary cookies and local storage for authentication, security, and to remember your language and reading preferences. We do not use advertising cookies. You can clear this data at any time from your browser settings, though signing in will no longer be remembered.
